Bookkeeping
Posting of purchases, sales, banks and cash, with classification by cost centre where applicable.
Services
The services below can be engaged separately or together. In most cases the monthly fee combines accounting, tax and payroll, with monthly reporting.
01 · Accounting
Posting of every document, monthly bank reconciliation and a trial balance closed by the agreed date. What differs from the usual service is the commentary that goes with the close: what changed against the previous month, and why.
Documents are collected digitally, with prior checking of the invoices reported to e-fatura (the Portuguese invoice reporting system), which reduces corrections at the year end.
Posting of purchases, sales, banks and cash, with classification by cost centre where applicable.
Banks, customers and suppliers reconciled every month, with differences identified.
Balance sheet, profit and loss account, notes and filing of the accounts.
Valuation and reporting of the inventory to the Autoridade Tributária (the Portuguese tax authority).
02 · Tax
Preparation and filing of the periodic and annual returns, and prior analysis of the transactions with a material tax impact: intra-Community acquisitions, services supplied abroad, distribution of profits, purchase and sale of property.
Planning is done during the financial year, not in December. That is when there is still room to choose.
Monthly or quarterly periodic return, recapitulative statements and refund claims.
Modelo 22 (corporate income tax return), IES (simplified corporate information return), Modelo 10 and withholding tax.
Analysis of the applicable regime and of the tax consequences of each option.
Identification of the regimes applicable to the activity and to the investment made.
03 · Human resources
Monthly processing, issue of payslips, filings with Segurança Social (Portuguese social security) and with the Autoridade Tributária (the Portuguese tax authority), and support in applying employment law to hirings, terminations and contractual changes.
It includes keeping the holiday schedule, the staff record and the workplace accident insurance cover up to date.
Processing and delivery of the payslips to employees.
Remuneration return, hirings and terminations within the legal deadlines.
Support in drafting and reviewing employment and service contracts.
Staff record, relatório único (single annual employment report) and holiday schedule.
04 · Management
Accounting produces information that rarely reaches the decision maker in a usable form. The monthly report turns the trial balance into indicators: margin by activity, break-even point, average collection and payment periods, and the projected cash position.
For those who work with banks or investors, this is also the file that supports a funding application.
A short set of metrics followed month by month, without excessive detail.
Schedule of expected receipts and payments over three months.
Organisation of the documents required in credit applications.
Preparation of the annual budget and monitoring against actual figures.
05 · Areas with a regime of their own
Some activities are treated, for accounting and tax purposes, well away from the ordinary case. In those, getting the treatment wrong costs more than the service.
Recognition of construction costs, work in progress, IMT (property transfer tax) and capital gains on disposal.
Category B or F of IRS (personal income tax), the IVA regime, and the specific obligations of alojamento local (licensed short-term rental).
Recognition of commissions, fee sharing and the obligations of the sector.
The one-stop shop regime, distance sales and intermediation platforms.
Treatment of the activity, deductible expenses and reporting obligations.
Regime simplificado or contabilidade organizada, with a comparison of the tax impact.
The proposal depends on the volume of documents, the number of employees and the complexity of the activity. A short conversation is enough to prepare it.
